Key Responsibilities:
Administrative Support:
- Assist in managing daily operations of the FMG team.
- Coordinate and schedule maintenance activities, inspections, and repairs.
- Update and maintain technical documentation, including equipment logs, service contracts, and safety records.
- Handle inquiries from tenants, building occupants, and vendors related to facilities maintenance and services.
- Prepare and maintain reports for internal stakeholders (e.g., monthly maintenance summaries, asset tracking).
- Manage facility-related records and documentation, ensuring compliance with company policies and industry standards.
Technical Support:
- Assist in tracking and managing the maintenance of technical systems (HVAC, electrical, plumbing, etc.).
- Help ensure that all building systems and equipment are in good working order and comply with relevant regulations.
- Work with senior technical staff to identify and resolve issues with systems or equipment.
- Support inventory control of spare parts and materials, ensuring adequate stock levels for ongoing operations.
Vendor and Contractor Management:
- Assist in managing relationships with external service providers and contractors.
- Track contractor performance and ensure that all work meets required standards and timelines.
- Maintain records of service contracts and vendor agreements.
Health & Safety Compliance:
- Ensure that all maintenance activities comply with health, safety, and environmental regulations.
- Support the implementation of safety audits, risk assessments, and corrective action plans.
- Assist in emergency preparedness planning and testing of systems, including fire safety drills and evacuation procedures.
General Facilities Support:
- Help maintain cleanliness and order in facilities, ensuring that all spaces are compliant with building regulations and company policies.
- Assist in the set-up and configuration of spaces for different purposes (e.g., meeting rooms, events).
- Coordinate minor repairs or adjustments to office equipment, fixtures, and furniture.
Key Skills & Qualifications:
Education:
- High school diploma or equivalent required.
- Technical certification in facilities management or a related field (e.g., HVAC, electrical, plumbing) is a plus.
Experience:
- 1-2 years of experience in administrative or technical support roles, preferably in facilities management, building maintenance, or technical services.
- Basic knowledge of building systems and maintenance procedures.
Skills:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and facility management software.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and manage time effectively.
- Excellent communication skills, both written and verbal.
- Problem-solving and troubleshooting skills.
